Terms & Conditions
Last updated: 23 October 2026
This service is provided to you by Vitalum. SmileVision supplies the software and processes data on Vitalum's behalf.
These terms are the agreement between you and SmileVision for using the SmileVision app. By creating an account or using the app, you agree to them. Our Privacy Policy explains how we handle data.
1. Who we are
SmileVision is a dental software company based in Indonesia. You can reach us at info@smilevision.ai. When a partner offers the app under its own brand, SmileVision still provides the software and runs the AI, and these terms apply alongside any terms the partner gives you.
2. For dental professionals
SmileVision is for dentists, dental specialists and clinic staff working under a dentist's supervision. It is not for patients or the public. You confirm that you may practise dentistry where you work and, if you use SmileVision for a clinic, that you may accept these terms for it.
3. Decision support, not a diagnosis
SmileVision helps you read images and plan care; it does not replace your judgement. AI can miss findings or be wrong. Check every result against the images and your clinical examination. You make every diagnosis and treatment decision and remain responsible for your patients' care.
4. How results are labelled
Results produced by an AI model are labelled AI. Values calculated from points or outlines, such as angles and distances, are labelled computed or measured. Features marked Beta are new and still being improved: they may change or be withdrawn, so use them with extra care.
5. Your account and acceptable use
Keep your sign-in details private, and tell us straight away if you think someone else has used your account. You are responsible for what is done with it. Please do not:
- upload images or data you have no right to share;
- try to reach other users' data, or get around security or usage limits;
- copy, reverse-engineer or extract our software or AI, or use the service to build a competing one;
- overload, scrape or disrupt the service, or resell it without our written agreement;
- use it for anything unlawful.
6. Patient data and consent
- You decide which patient images and scans to upload. Before you do, make sure you have your patients' consent, or another legal basis under the law that applies to you. Keep a record of it and show it to us if we ask.
- We process the images and scans you upload to provide the service to your clinic: to run the analyses, show the results and keep your cases for you.
- Data may be processed and stored on SmileVision's servers, which may be outside your country.
7. Improving the AI (data sharing)
- Only while your clinic's data-sharing setting is on, SmileVision keeps de-identified copies of the images and scans you analyse, with the AI's results and your corrections, and uses them to improve the AI. Dental specialists review each copy before it is used.
- Patient names, IDs and dates of birth, your name and your clinic's, and the file details are removed. Text printed on an X-ray is blurred during review. The soft tissue of the face is removed from kept CBCT scans. Your notes are never kept.
- Turning sharing off (Data sharing in the menu) stops new sharing, and what was shared earlier is left out of future training.
- To delete a contribution, use "Remove this contribution" on the result or CBCT scan, or ask us.
- Deleting a case or scan from your list does not remove a contribution already shared. Only removing the contribution, or asking us, does.
- When you share, you confirm that your patients have agreed where your local law requires it.
8. Ownership
The SmileVision software, AI, report designs and brand belong to SmileVision or its licensors; while your account is open you may use them for your clinical work. Your images and your patients' records stay yours. You allow us to process them to provide the service and, only with data sharing on, to use de-identified copies as described above. Reports you create are yours to use with your patients and colleagues. We may use suggestions you send us to improve SmileVision.
9. Availability and changes
We work to keep SmileVision available and accurate but cannot promise it will always be available or free of errors. We may add, change or remove features, Beta features included. Some studios keep only your most recent cases, and SmileVision is not a patient record system, so keep your own copies of anything your records need.
10. Liability
SmileVision is provided "as is". As far as the law allows, SmileVision is not liable for indirect or consequential losses, lost profits or lost data, or for clinical decisions made with the help of the service, and our total liability for any claim is limited to the greater of the fees you paid us for the service in the 12 months before the claim and USD 100. You are responsible for claims that arise from data you uploaded without a legal basis or from a breach of these terms. Nothing here limits liability that the law does not allow to be limited.
11. Suspension and closing your account
You can stop using SmileVision at any time and ask us to close your account. We may suspend or close an account that breaks these terms, puts patients, other users or the service at risk, or where the law requires it; where we reasonably can, we will tell you first. When an account is closed we delete it and its cases. De-identified contributions already shared stay unless you also ask us to remove them.
12. Changes to these terms
We may update these terms. We will change the date at the top and tell you in the app before important changes apply. Using SmileVision after that means you accept the new terms.
13. Governing law
These terms are governed by the laws of the Republic of Indonesia. If something goes wrong, please contact us first and we will try to resolve it with you. This does not take away rights you have under the mandatory law of your own country.
